What are the conditions of participation?

Overview of qualification requirements

  • The UP (relevant faculty/department) has an inter-institutional ERASMUS+ agreement with the partner institution.
  • You are a student registered at an accredited study programme of UP (Bachelor’s, Master’s or Doctoral study programme).
  • The duration of the student mobility will be a minimum of 3 months (from 2022 at least 2 months) and maximum of 12 months – always within one academic year.
  • The total maximum of all Erasmus+ study mobilities and Erasmus+ traineeships per study cycle is 12 months.
  • For the entire duration of the planned mobility you will be a UP student (it is not possible to terminate or suspend your studies at UP prior to or in the course of your mobility).


What do I need to do to join the programme?

Find out how the programme is organized at the faculty. The best way to do this is to contact the IR officer at the Dean’s Office of the relevant faculty.

If you have the name of the programme coordinator at the department, please refer directly to the department. An important factor is whether the faculty/department has a student exchange agreement or agreements compliant with your study course and language skills.

  • Find out the requirements and dates of the competitive selection. The criteria and dates are specified by the faculty/department. Typically it is December and February.
  • Investigate the consequences of the exchange programme for your studies at UP (recognition of courses studied abroad, the need to prolong your graduation date, an individual study plan).
  • Once the results of the competitive selection have been posted, please follow instructions in the section below: Instructions for selected students



Erasmus+ student mobilities are funded from two sources: EU financial resources and the national budget (MEYS). The amount of financial assistance depends on the length of the mobility (number of months/days). For the scholarship purposes, one month equals 30 days. In the event of an incomplete month, the scholarship is based on the number of days (1 day = 1/30 monthly rate). The financial assistance is not designed to cover all exchange programme costs. It should cover a part of your mobility costs and you are expected to participate financially. The flat monthly rate includes both the mobility and travel costs of the student.

Erasmus+ funding

Note: Erasmus grants cannot be paid into accounts with banks abroad, only into accounts in the Czech Republic and Slovakia (a CZK or EUR account)

Green Erasmus

Students who use the ecological method of transport to and from the foreign partner institution can receive a financial contribution to support environmentally friendly travel in the form of a one-time contribution.

  • The contribution is 50 EUR.
  • To receive the contribution, it is necessary to provide the UP Mobility Office with a ticket for the round trip within 15 days from the end of the study stay.
  • Eligible means of transport are train, bus or car.
  • When traveling by shared car, other relevant documents (fuel receipt, etc.) must also be provided.

Participants with an economic barrier

Students with an economic barrier (based on the right to a child allowance or social scholarship) and students with children or dependents (based on a certificate proving this fact) can be added up to EUR 250 per month to the standard Erasmus+ scholarship amount, and due to the type of mobility and length of stay.

The student submits an application for an increase in the scholarship to the Erasmus+ programme coordinator at the International Relations Office no later than 10 days before concluding the grant agreement.

Students that do not receive child allowance from the Czech government can apply for the top-up provided they submit a proof they receive similar allowance under comparable conditions in their country of origin.

Participants with special needs

Students with physical, mental or health disadvantages can apply via the International Relations Office UP for additional financial support to cover the increased costs that will arise as a result of ensuring the necessary conditions for their stay abroad (eg. special housing, regular medical examinations, accompanying persons, adapted study materials, etc.). The costs incurred must be supported by documents.

The student will deliver the scholarship application for students with special needs to the International Relations Office UP no later than 10 days before signing the grant agreement. Before submitting the application, an individual consultation with the relevant coordinator of the International Relations Office UP is necessary.

Multiple mobilities

The European Commission has set the following rules for multiple mobilities under the Erasmus Programme:

  • Erasmus students may study up to 12 months abroad in every study cycle (Bachelor’s, Master’s, and Doctoral degree). You are free to use the said time allocation for both studying abroad and traineeships.
  • Students who follow five or six-year Master study programmes can be mobile for up to 24 months during their studies.
  • Any prior experience under the Erasmus study abroad programmes and traineeships counts towards the 12/24 months per study cycle.


Academic recognition

Mobility is considered completed if the student submits the Transcript of Records that corresponds to the Learning Agreement. Students are thus obliged to not only spend the time stipulated in the Grant Agreement abroad, but also to fulfil the approved study programme specified in the Learning Agreement. If the student fails to follow the approved study programme, the institution may request that the student returns a part or entire grant.

Measures in case of academic failure

Students are required to earn a minimum of 20 ECTS credits per semester during their Erasmus+ study abroad. The recommended number of credits in study plan is 20‐30 ECTS credits per semester. If the student fails to meet conditions defined in Section 7 of the Grant Agreement for Erasmus+ study abroad programmes, and thus fails to earn the minimum number of ECTS credits, the student will be required to partially reimburse the grant received. Reimbursement shall not be requested when a student has been prevented from completing the minimum requirements due to force majeure, of which the student immediately notified the UP IRO coordinator.

In case of non-fulfillment of the required number of credits, the student will ask the Vice-Dean for International Relations of the respective faculty for an assessment of the reasons.

After examining the student's request and based on the statement of the Vice-Dean for International Relations, the Erasmus+ Institutional Coordinator decides whether to apply / not to apply a penalty due to failure to meet the required number of credits.

The amount of the penalty applied will be determined according to the number of failed credits from the minimum required number of ECTS credits for the given semester of the study stay, converted to days.
Example: A student received a contribution of 2040 EUR, his mobility lasted 120 days in a country for which a financial support of 510 Euros / month is set. He earned 18 credits out of the minimum required 20 ECTS credits.
In this particular case, we determine the credit value as follows: 120 days corresponds to 20 ECTS credits, one credit is 6 days.
The student has not fulfilled 2 credits, so he / she will return the financial support for 12 days of stay.
The daily aid amounts to EUR 2040: 120 (days) = 17 EUR / day.
The student thus returns the amount of 12x17 = 204 EUR.

The majority of faculties currently have guidelines on study abroad programmes that form part of studies at UP. It is advisable to acquaint yourself with the guidelines of the faculty where you study, in advance. Each guideline is posted on the notice board of the relevant faculty.

Instructions for selected students and for students after the mobility

After the results of the selection have been posted

  • Check the website of your receiving institution, go to the incoming student information (Erasmus exchange programme), and download application forms if available. Some institutions have an online application system. Find out if your institution requires nomination from the home coordinator (if so, ask the UP IRO coordinator to submit your nomination). A completed application is submitted to the receiving institution by the student (or by IR officers at FoL and FoPC). You need to follow application instructions and deadlines of your receiving institution.
  • Submit your Learning Agreement to your receiving institution for approval (ask your receiving institution to return the approved LA to you as you will need it as an attachment of your  Grant Agreement). Students are eligible for a grant provided they earn a minimum of 20 ECTS credits per semester in the subjects approved in their Learning Agreement during their study abroad period. See also: Measures in case of an academic failure
  • Find information about your study destination ahead of time. The final reports of students from preceding years are available at the national database of Erasmus student reports 
  • Arrange a visa to your destination if necessary.
  • Your participation in the Programme is binding. If you withdraw from the Programme, you are obliged to notify the UP IRO in writing and include the reasons. You also need to notify your department/faculty coordinator, as well as your receiving institution.
  • If you were selected for the programme by a different department/faculty, you need to check with you home department/faculty whether they approve your participation in the programme.

Before Mobility

  • Take a language assessment using the Online Linguistic Support (OLS) platform. You will be sent the OLS access data by the UP IRO coordinator. Native speakers are exempt from the obligation to take the language tests.
  • In order to sign the Grant Agreement, you need to submit:
    a copy of the letter of admission issued by your receiving institution,
    - a copy of your Learning Agreement approved by all parties,
    - an electronically completed Bank Account Statement. The grant is paid by bank transfer into an account with a bank based in the Czech Republic or Slovakia.

You will receive a confirmation email confirming your insurance policy for the entire duration of your study period.

During Mobility

  • Should the Learning Agreement be amended, complete the corresponding part of the Changes to the Learning Agreement form, have it certified by the receiving institution, your home faculty/department coordinator, and submit a copy by email to the UP IRO. Any changes must be approved within 5 weeks from the start of your study period, i.e. from the first day of teaching.
  • Immediately notify the UP IRO of all changes (reducing or prolonging the mobility duration) and any problems with the implementation of the Learning Agreement.

Prolongation of Mobility

  • A prolongation of your study abroad period is possible only based on an agreement between the sending and the receiving institutions. A prolongation supported with financial assistance depends on availability of financial resources. If the extension is without financial assistance, the Erasmus zero-grant student retains, however, the status of a student and the ensuing benefits.
  • Students apply for prolongation using the form Extension of Erasmus+ study period, which is submitted, duly signed, to the UP IRO along with a cover letter no later than 1 December in the case of prolongation to summer term. An amendment to the Grant Agreement must be signed prior to the end of the original duration of your study period.

After Mobility

  • Submit the original copy of the Confirmation of Erasmus Study Period within 15 days from the end of the mobility. The confirmation must cover the period of the originally signed Grant Agreement. If the hosting institution issues a confirmation using its own form, the confirmation must clearly state the start date and the end date of your mobility. The confirmation shall be issued no more than one week before the end of the mobility.
  • Submit the transcript of records to the UP IRO no later than 1.5 months from the end of your mobility. Students of doctoral study programmes submit the confirmation of their tutor or departmental coordinator in the receiving institution describing the study activities during their mobility.
  • In case of applying for Green Erasmus travel top-up, you have to provide UP Mobility Office with copies of tickets for both trips within 15 days following the end of your study stay.
  • Complete the final report in the form of an online questionnaire in the European application Mobility Tool. After the mobility, the student receives an email requesting him/her to complete the report.
  • Have your study abroad results recognized at your faculty/department. The recognition of an approved study plan is a prerequisite of the Erasmus+ programme; students shall request recognition even if they have enough credits to graduate from the UP.
